Leave Application Instructions

Leaves

A request for leave should be submitted in letter form and include:

a.  a , available on the Academic Dean's webpage;completed cover sheet [doc]

b.  a request for specific type of leave: seventh-year leave, seventh-semester leave, Steele leave, or leave without pay;

c.  a summarized statement of purpose and plan of study during the leave;

d. a statement by the individual's department Chair, approving the leave and explaining how the department will cover the leave;

e. a current curriculum vitae;

f.  a request for salary subvention (if applicable);

g.  a copy of at least one application for research support from an external agency by March 15th of the year prior to the requested leave is required if you are requesting salary subvention;

h. a report on the work undertaken and completed on the faculty member's previous leave (unless this is a faculty member's first leave application).

Please note that a formal leave request must be submitted whether or not external funding has been secured to support the proposed leave. A copy of the leave request must be sent to the department chair.

Sabbatical Subvention

A request for a sabbatical subvention should be indicated on the Leave Cover Sheet and submitted in a letter that includes the following information:

  1. a formal request for a salary subvention per semester
  2. the timing of the requested leave
  3. copies of at least one application for research support from outside agencies or the names of the external source(s) of funding to which applications will be submitted, and/or similar evidence of strenuous efforts to seek external support (required only if you are requesting salary subvention)
  4. the amount(s) of funding requested
  5. the dated by which the applicant will be notified about funding

Leave Application Deadlines

Members of the faculty who wish to apply for sabbatical leaves or leaves without pay for the 2013-12 Academic Year or the 2014 Calendar Year must present applications to the office of Associate Dean Wright by Thursday, October 11, 2012.  Because of the extensive approval process and the date of the Trustees' meeting at which formal approval is given, it is very important to meet this deadline. Applications received after the deadline ("late leave requests") will not be considered.  Please note that you must submit a formal leave request whether or not you have secured sources of external funding to support your proposed leave.

Applications for sabbatical subventions are also due on Thursday, October 11, 2012.  A deadline in the Fall term preceding the year of a requested leave permits orderly planning for faculty replacements by the Dean's Office staff.  Just as important, it enables faculty to submit applications for outside funding well ahead of a planned sabbatical.

The deadline for notifying the Dean's Office about whether an approved leave will not be taken is Friday, January 25, 2013.  This deadline enables budget planning processes for staffing to proceed smoothly.
