Pomona College is looking for an Executive Assistant to work for the VP and Treasurer and the VP and Chief Communications Officer of the College.  Reporting directly to the VP and Treasurer and VP and Chief Communications Officer, the Executive Assistant will provide assistance by supervising and coordinating the administrative activities for the Office of the Treasurer and Communications.  The Executive Assistant will work independently to handle highly confidential information and perform a wide variety of executive administrative tasks and relieve the VPs of details and routine matters.  This position exercises independent judgment with discretion and tact and is responsible for some decision-making.  The Executive Assistant will write proposals, reports, meeting minutes, correspondence and other documents that may require signatures from the appropriate VP or own signature may be required on some documents. The Executive Assistant will maintain the calendar of activities for both VPs, organize meetings, conferences, travel arrangements, and serve as a liaison with appropriate faculty and/or administrators of one or more colleges while the VPs serve on various committees or act as Chair.  The Executive Assistant will investigate and recommend the feasibility of new programs and/or procedures, collect and analyze data for certain projects and surveys, control expenditures within established budget guidelines for the offices, monitor the College’s legal expense budget, oversee legal vendors and contractors, and prepare, assemble, and distribute materials. The Executive Assistant will also be responsible for creating and maintaining various databases for both VPs to support community outreach and engagement activities, conduct research as necessary for various communications initiatives, and help with briefing books for key College officials including the VPs. This position will also prepare materials for the Board of Trustees agenda, provide administrative support to four committees of the Board of Trustees, four Board Committee Chairs and take minutes at Board Committee meetings.
Additional responsibilities include administrative support to the Committee on Social Responsibility.

Requirements: High School Diploma or GED is required or equivalent combination of education and experience.  Bachelor’s degree is preferred. A minimum of 5 years of office and administrative experience with increasing responsibility as an executive assistant in a complex and multidisciplinary office. Experience at an academic institution or financial office with service to a senior management executive handling highly confidential information is preferred. Candidate must deploy professional skills in organization, process improvement, administrative management, business writing, editorial, and basic accounting, in collaboration with colleagues to best promote the College’s strategic interests. Candidate must be knowledgeable of accounting and budgetary procedures and practices, and exercise a very high degree of independent judgment, tact and discretion in the execution of assigned responsibilities in a position that handles highly confidential material. The successful candidate will possess excellent Microsoft Office suite skills and be familiar and comfortable with emerging communications technologies.

Outdoor Education Coordinator (OEC)   (Revised posting)

Pomona College is looking for an Outdoor Education Coordinator to serve as a staff member for the Outdoor Education Center (OEC). This position will help support and oversee a portion of the OEC programming and facilitate ongoing programming for Pomona College students and help the OEC with general programming for the entire campus community. The Coordinator will assist in the overall training of outdoor leaders (leadership, communication, and programming skills), plan and facilitate OEC programs, supervise production of OEC events, attend and assist with Orientation Adventure Program; teach Wilderness Medicine workshops, teach activity training workshops specifically in Rock Climbing, Kayaking and winter travel. The Coordinator will also conduct risk assessment and pursue accreditation from Association for Experiential Education, manage an outdoor leader certification program and attend the National Conference (AORE) and represent Pomona College.

Requirements: Bachelor’s degree in Recreation, Campus Administration, or related field. Background in outdoor recreation or related experience is preferred. Experience in Wilderness Medicine instruction required. Working knowledge of Microsoft Office products required. Applicants should possess a commitment to an outdoor education and environmental ethics philosophy and an understanding of how to meet the cultural, social and recreational needs of the campus community as well as values supportive of and compatible with the principles of a liberal arts institution.

Technical/Paraprofessional 

Admissions Data Specialist

Pomona College is looking for a Data Specialist to work in the Admissions Office. The Data Specialist assists with maintaining the integrity of the Admissions Information System and is responsible for processing, storing, analyzing, and preparing data for output, and providing technical support to internal and external audiences. Reporting directly to the Admissions Information Systems Manager, the Data Specialist will extract data from external sources (ETS/ACT/Common Application), load and process through CX, assuring validity and quality of data.  Identify source data layout changes and map changes to CX tables, validate inquire data submitted via the Pomona College Website, and external sources, including Zinch, Cappex, and Hobsons, administer portal access and accounts for inquire, applicants, enrolling students, and staff. This position will create, update, and maintain student and organization records, identify problems with the Admissions module and provide written documentation of problems, prepare documentation of changes and procedures for end-users, assist with training Admissions Office personnel in the proper and appropriate use of CX including update trainings for upgrades and changes in programs and test and authenticate changes to the database, reports, or other technical functions as required by the AISM or Information Technology Services (ITS). The Data Specialist will also develop a catalog of the most frequently used management information reports as needed by Admissions leadership and as specified for program management.
Requirements: Bachelor’s degree in computer science, information technology or related field or equivalent combination of education and experience. A minimum of 3 to 5 years of increasing responsibility in databases is required.  Experience with Student Information Systems (SIS), such as Jenzabar CX, database management, and strong creative, strategic, analytical, organizational, and problem-solving skills.

Candidate must deploy professional skills in information technology and applications management, in collaboration with colleagues to best promote the College’s strategic interests. Demonstrate effectiveness and clarity of verbal and written communication with excellent interpersonal communication and phone manners.  Candidate must be able to handle all activities and highly confidential information with patience, discretion, tact, and a keen eye for detail while working with people from a wide variety of backgrounds.

The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday – Friday.  Overtime, holiday, weekend and evening work hours may be required.

Document Management Specialist

Pomona College is looking for a Document Management Specialist who can work in a team environment with clients and the Information Systems team in the ITS Department. This position will be responsible for all aspects of system development, operations, maintenance and production processing for the document management system. The Document Management Specialist will apply expertise in document management and workflow design, investigate and analyze the feasibility of program requirements, and develop document management specifications. Reporting directly to the Director Information Systems, the Document Management Specialist will analyze needs, assist with the design, writing and testing new document management and workflow solutions.  This position will lead the ongoing design, development and implementation of the Document Management infrastructure and ensure the stability and reliability of the document management system through the use of exemplary system administration policies and procedures. This position will participate in all phases of the software development lifecycle, act as the focal point for discussions and the solution of technical problems with the Document Management system. This position will also develop & maintain document management indexing, queries, forms and workflows, and troubleshoot document management system issues.

Requirements: Bachelor’s degree is required. A minimum of 3 years of experience managing a document management system is required. A minimum of 1 year of experience as a systems administrator for a Windows server running mission critical applications based upon Microsoft SQL Server is desirable. Demonstrated ability to configure and maintain workflow in support of a critical production system. Candidate must have demonstrated ability to consult with staff to determine business requirements, functional requirements and input/output requirements.  Working knowledge of OnBase document management software and Jenzabar CX is preferred.  Experience at an academic institution is preferred.
